About the Role
A high-trust position supporting Kanara’s co-founders as gatekeeper, accountability enforcer, and operating rhythm keeper not a traditional administrative role. Reports directly to the CEO & COO.
What We’re Looking For
- Minimum Bachelor’s degree (S1) from any major.
- Minimum 2–3 years of experience as Executive Assistant, Personal Assistant, or C-Level Assistant.
- Prior experience in a fast-paced corporate environment or established company is preferred.
- Strong organizational, communication, and time management skills.
- Fluent in English, both written and spoken.
- Strong interpersonal and stakeholder management skills.
- Good negotiation and problem-solving skills.
- Able to handle confidential information with professionalism and high integrity
- Detail-oriented, proactive, and able to work independently.
- Proficient in Microsoft Office / Google Workspace.
What You Will Do
1.Executive Time & Calendar Management
- Own and optimize both executives’ schedules, ensuring calendar reflects strategic priorities not reactive demand
- Serve as gatekeeper: proactively decline, reschedule, or consolidate low-value meetings and protect focus time
- Manage all business travel end-to-end (flights, accommodation, itinerary, contingencies)
2.Information Flow & Accountability
- Prepare agendas, pre-reads, presentations, and reports ahead of key meetings
- Produce action-oriented MOM with clear owners and deadlines then chase items to closure
- Track all commitments made by and to the CEO & COO; flag overdue items and escalate stalled follow-ups
- Enforce the operating cadence (monthly reviews, board prep, investor updates)
3.Stakeholder & Operational Coordination
- Coordinate internal cross-departmental communications and follow-through on executive directives
- Manage external communications with investors, partners, and vendors with professionalism and discretion
- Own logistics for board meetings, investor visits, offsites, and company events
- Handle all confidential executive and corporate matters with the highest discretion
4.Personal & Executive Support
- Manage personal scheduling, private appointments, and family-related commitments to ensure seamless integration between professional and personal priorities
- Coordinate personal arrangements including reservations, travel, gifting, and other executive needs as required
- Liaise with relevant personal contacts and service providers on behalf of the CEO & COO
- Uphold the same standard of confidentiality and professionalism across all personal and corporate matters
